URBAN OASIS

BOUTIQUE HOTEL MANAGEMENT SYSTEM

Urban Oasis brings room availability, staff, tasks and maintenance issues together in one interface, helping hotel teams coordinate daily operations and respond to what needs attention.

Who is the system designed for?

The system was designed for the shift manager at Urban Oasis — a boutique hotel in Sri Lanka with 40 rooms, operating around the clock. In her role, she coordinates reception, housekeeping, maintenance, and other departments, and needs to make quick decisions under pressure.

THE PROBLEM

Hotel information is disconnected

Information is spread across several systems, making it difficult to identify urgent issues, track open tasks and coordinate departments. Information overload and unclear shift handovers make real-time decisions harder.

THE VISION

One connected view of hotel operations

Give the team a clear, shared overview of a 40-room boutique hotel operating around the clock, connecting reception, housekeeping, maintenance and the hotel’s services.

THE GOAL

Turn current information into action

Provide a complete real-time overview, help staff quickly identify issues and tasks, support efficient team management and enable fast decisions based on up-to-date information.

From team availability to action

Turn availability into action

When the shift manager needs to assign a task, she first checks who is available. She can review an employee’s current status and assign the task directly from their profile, or ask “Who is available?” in the team chat and assign it to an employee who responds. Both paths keep availability, communication and task assignment connected in one place.

Respond to an escalating issue

To help the shift manager avoid missing tasks and unresolved issues, a fault escalates after 15 minutes without a response. It first displays a prominent visual alert, then opens a blocking notification that requires action before the manager can continue to another task. From the notification, she can assign the issue to an employee and make sure someone is responsible for handling it.
